ODH_DATA_PROCESSING: Obsolete Data Handling

You use this report ODH_DATA_PROCESSING to delete obsolete data that remains after the conversion of your system from ERP to SAP S/4HANA and after every SAP S/4HANA upgrade.

Obsolete data originates from SAP S/4HANA data model simplifications in many application areas where the related application data is migrated to new data structures. Some of these areas include Material Management, Financials, Sales & Distribution, and Environment and Health Science. The source data is not deleted automatically during system conversion since it increases the business downtime, and the obsolete data store may sometimes be required during or after conversion.

You can execute the deletion rules that are delivered by SAP in your productive system without any business downtime, after completing the following actions:

  • Successful validation of system conversion
  • Testing the deletion rules in an appropriate test system

Note: SAP strongly recommends that you back up your database prior to executing the deletion rules in your system.

The deletion of data is cross-client, which means that irrespective of the client in which you execute the report, the data is deleted across all clients.

With this report, you can delete the following depending on the SAP S/4HANA data model change:

  • Obsolete data from rows
  • Obsolete data from columns
  • Obsolete data from the entire table

You can delete data directly from the table, or you can back up the data before you delete it. Backing up of data means moving data from the main memory after deleting from the original table and storing it in the Z-table. Please note that once you delete the data, there is no option to retrieve this data or build it back into the original table using this report.

Note: SAP recommends that you delete data directly to comply with the Data Protection and Privacy requirements.

Prerequisites

You have the following authorizations objects assigned to your user:

  • ODHADMDIS – Allows you to display the obsolete data
  • ODHADMRUN – Allows you to delete obsolete data
  • ODHADMDEL – Allows you to delete obsolete data that is present in the Z-table

The conversion of system from ERP to SAP S/4HANA is successfully completed.

You have created RFC Server Group with technical name CODAC_ADMIN_PROCESS by going to transaction RZ12. If this is not created, the system will consider all the available background work processes for execution.

Selection

  1. Choose Calculate Statistics. This calculates the statistics of the obsolete data and the memory that it occupies.
  2. Choose Show Statistics. This displays the calculated statistics of the obsolete data. Total Number of Rows indicates the total number of rows present in an Object Group. Obsolete Rows indicates the number of rows that are obsolete. The total space occupied by all the rows is present in Total Data Size. And the space occupied by obsolete data is present in Size of Obsolete Data.
  3. Select the entries that you want to process further. You can also filter these entries based on your requirement. To do so, select a value provided in Object Group and choose Search.

Once the report displays a consolidated list of rules, which is categorized based on object groups, you can perform the following actions:

Delete Obsolete Data

a) Select the object groups that you want to delete. To view the complete list of details for the selected Object Group, choose Details in the Object Group Details column.
b) Choose the Source Table Copy Required? checkbox, if you want to back up the source table data before deleting. If you do not select this checkbox, the data is deleted directly.
c) Choose Process Obsolete Data to delete the obsolete data.

Monitor Jobs

Choose Job Monitoring to view the progress of scheduled jobs. Once you select this button, the report displays the consolidated job status of all the entries in Object Group.

You can also see the details of the jobs by going to transaction SM37. Use the job name from the consolidated list. For further details, go to transaction SLG1 and enter CODAC in Object and execute.

Refresh Progress

Choose Refresh Progress to view the Rule execution status.
